Executive Assistant - CPA Firm

We are a leading CPA firm, based in the San Fernando Valley and are looking for an experienced, sharp, quick, hardworking, fast thinking, and efficient Executive Assistant to both our company President and Managing Partner. We are looking for a candidate with a minimum of 3 years' experience assisting company executives. Heavy emails, phones, appointment and calendaring, assisting<br><br><strong>DUTIES AND RESPONSIBILITIES:<br><br></strong><ul><li>Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf </li><li>Maintain comprehensive and accurate corporate records, documents and reports </li><li>Perform minor accounting and bookkeeping duties </li><li>Organize meetings, including scheduling, sending reminders and organizing catering when necessary </li><li>Create Engagement Letters and Onboarding New Clients</li><li>Answer incoming phone calls in a polite and professional manner and accurately taking messages </li><li>Welcome visitors and identify the purpose of their visit before directing them to the appropriate department </li><li>Manage the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters </li><li>Coordinate travel arrangements (both domestic and international) and create trip itineraries </li><li>Use various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects <br><br></li></ul><strong>SKILLS AND QUALIFICATIONS:<br><br></strong><ul><li>Bachelor's Degree or equivalent experience </li><li>Time management and ability to meet deadlines </li><li>2-3 years of executive assistant experience </li><li>Excellent verbal and written communication skills </li><li>Strong organizational skills and ability to multitask </li><li>Problem-solving and decision-making skills </li><li>Ability to act as gatekeeper and escalate relevant information to executive as needed </li><li>Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors, fax machines). </li><li>Ability to work effectively with minimal supervision </li><li>Strong interpersonal skills </li><li>Ability to treat confidential information with appropriate discretion </li><li>Exceptional attention to detail </li><li>Familiarity with Microsoft Office Suite <br><br></li></ul><strong>Benefits<br><br></strong><ul><li>Medical insurance</li><li>Vacation, Personal, Sick, and Holiday pay</li><li>401K and profit-sharing plan</li><li>Stable Growing Company</li></ul>
