Group Assistant
About the position
Responsibilities
- Provide administrative support to a team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Serve as the main point of contact for internal and external communication related to the group or department.
- Prepare and distribute agendas, meeting notes, and presentations for team meetings.
- Assist with project coordination, tracking progress, and ensuring deadlines are met.
- Maintain and organize group files, records, and documentation (both physical and digital).
- Coordinate office resources, such as supplies, equipment, and shared spaces, to ensure smooth daily operations.
- Handle email correspondence, phone calls, and inquiries, escalating issues when necessary.
- Support the onboarding process for new team members by preparing materials and assisting with orientation.
- Assist with expense reporting, budget tracking, and processing invoices related to group activities.
- Help plan and organize group events, trainings, or workshops.
- Provide general support for ad hoc tasks and projects as needed to assist the team.
Requirements
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Proven experience in an administrative support role or similar position.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
- Ability to prioritize tasks and manage multiple deadlines effectively.
- Strong interpersonal skills and the ability to work well with diverse teams.
- Professional demeanor and discretion in handling confidential information.
